Get to Know Flags

One Place to Track What Matters Across Your Organization

If you’ve ever needed to keep tabs on a duplicate registration, a bad player, a team that is on a wait list for an event, or an account that needs a second look, you’ve probably used a Flag — but you may not have known just how much you can do with them.

What are Flags, exactly?

Flags are simple, color-coded tags you can attach to a record – a user, a team registration, a program registration, a contract, an organization, and more – to mark it for tracking or follow-up. Think of them as sticky notes your team can see at a glance: “this needs review,” “player is in bad standing,” “this is a duplicate,” and so on.

They’re used across GotSport for all kinds of internal tracking, including:

  • Flagging duplicate or incorrect registrations
  • Tracking refunds or credits that are complete or still pending review
  • Marking accounts or registrations that need admin follow-up
  • Identifying eligibility or compliance issues (like POB reviews or carding)
  • Noting special statuses on organizations, such as custom roster rules
  • User Flags
  • User Qualification Flags
  • Member Registration Flags
  • Program Registration Flags
  • Contract Registration Flags
  • Team Registration Flags
  • Organization Flags
  • Billing Account Flags
  • Payment Flags
  • Referee Assigning Match List Flags

Those categories are fixed, but what goes inside them is entirely up to you. Within any category, your organization can create as many flags as you need, each with its own label and color — whatever wording and meaning makes sense for how your team tracks things.

How to add or manage a flag

Previously, creating a new flag meant knowing exactly which area it belonged to and navigating there first. For example, opening an individual team registration or program registration and using the flag icon on that page to create it. There was no “Add Flag” option on the Settings > Flags page itself, so if you didn’t already know where a particular flag type lived, creating one wasn’t straightforward.

Add Flags Update

Now, an Add Flag button appears next to each category on Settings > Flags, so you can create a new flag right from this central page, no more needing to know which record type to dig into first. Once it’s created, you can go to the relevant area (a team registration, program registration, contract, etc.) and assign that flag as needed.

It’s a small change, but a helpful one: this page also shows every flag your organization has created within each of those categories, along with how many records (“Attachments”) each one is currently applied to.

How to add or manage a flag:

  1. From your Admin Dashboard, go to Settings > Flags.
  2. Find the category you’re working in (for example, Team Registration Flags or Organization Flags).
  3. Click Add Flag to create a new one, or use Remove All / Delete Flag next to an existing flag to manage it.
  4. To apply a flag to a specific record, open that record (a team registration, program registration, contract, etc.) and use the flag icon to select or create a flag as you normally would.

Who this helps

This is especially useful for club, league, and organization admins who manage flags across many registrations or accounts — think finance teams tracking refunds, compliance staff reviewing eligibility flags, or league admins keeping an eye on duplicate registrations. Instead of checking record by record, you can see the full picture — including which flags are barely used and which ones are attached to thousands of records — in one screen.

We have several support articles that walk through adding flags in specific areas, like Team Registrations and Program Registrations.
